IT procurement negotiation: getting value beyond the unit price

18 October 2026 · 7 min read · Sanjeev Soni

Smart negotiation uses asset data, total cost of ownership and lifecycle terms to secure better contracts with OEMs and resellers.

Negotiate with data

ITAM data on current estate, utilisation and refresh dates turns negotiation from guesswork into evidence. Know your volumes, run-rate and alternative options before talking to vendors.

Look at total cost of ownership

Unit price is only part of the cost. Include warranty, support SLAs, logistics, imaging, deployment, financing and end-of-life buyback values in the comparison.

Terms that matter

Volume and price-protection clauses, multi-year rate cards, extended warranty bundles, advance replacement, buyback or trade-in commitments, and data-sanitisation responsibilities at end of life.

For software, negotiate licence mobility, true-down rights, audit clauses and renewal caps.

Build leverage

Run competitive RFQs, align timing with vendor quarter-ends, consolidate demand across business units, and keep a qualified alternative supplier to maintain negotiating strength.
