Hardware Asset Management (HAM): controlling devices from dock to disposal

21 October 2026 · 6 min read · Sanjeev Soni

HAM tracks every laptop, desktop, server and mobile device physically and financially — reducing loss, extending life and protecting data.

The HAM lifecycle

Request → procurement → receiving and tagging → deployment → maintenance → refresh → decommissioning → ITAD and recovery. Each handover is a point where records drift unless controlled.

Tagging and stock control

Every device should carry a unique asset tag linked to serial number, purchase order, warranty, location and assigned user. Barcode or QR tagging at goods-receipt prevents 'ghost' and 'zombie' assets.

Utilisation and refresh

Track idle and spare stock, redeploy before buying new, and set refresh cycles (typically 3–5 years for laptops) based on performance, warranty and residual value rather than habit.

Secure end of life

Retired hardware must follow a documented chain of custody, certified data erasure and value recovery. HAM records should close only when an erasure certificate and disposal record are attached.
